Create a controlled petty cash record

Petty cash is intended for small, permitted business expenses where the normal purchasing or payment process is impractical. A voucher creates an internal trail showing who received the cash or reimbursement, why it was paid, how much was paid and who reviewed or held the cash fund.

The generator supports twelve currencies and Letter/A4 output. The amount and optional entered tax are added to show the voucher total. DraftFort does not calculate a tax rate because local tax evidence and recovery rules vary.

Fields that strengthen a petty cash trail

  • A unique voucher number and the actual payment or reimbursement date.
  • Payee name, department and account or cost code where applicable.
  • A specific business purpose instead of a vague label such as “miscellaneous.”
  • Expense amount, separately known tax amount and selected currency.
  • Whether the transaction is cash, reimbursement or advance settlement.
  • The receipt number, file reference or other genuine evidence identifier.
  • Received-by, custodian and approval lines required by the cash policy.

Organizations should also reconcile the physical cash plus supported vouchers to the authorized fund balance. The PDF does not perform that fund reconciliation and does not prove the expense occurred.

Voucher, receipt and expense report

A merchant receipt is external evidence of a purchase. A petty cash voucher is an internal record of the cash movement. An Expense Report can combine several reimbursable transactions. Use the document that matches the actual workflow and retain every source record the organization requires.

Privacy and accounting boundary

Payee, purpose, amounts and evidence references stay in your browser. DraftFort does not verify the transaction, identity, account code, approval, tax treatment or policy compliance. Reset removes an enabled local draft, but downloaded and shared files remain outside DraftFort’s control.

What does a petty cash voucher record?

It records who received cash or reimbursement, the business purpose, amount, date, payment method, evidence reference and sign-off.

Does the voucher replace the original receipt?

No. Keep the genuine receipt or other supporting evidence required by the organization. The voucher references evidence; it does not create it.

Can the generator determine tax treatment?

No. The optional tax field records an amount you already know. DraftFort does not decide deductibility, recoverable tax, account coding or cash policy.

Is payee information uploaded?

No. All processing stays in your browser and optional draft saving is off by default.
