What a compliant UK invoice needs
- A unique invoice number — VAT invoices use a unique sequential number
- Your name and address — sole trader name or registered company name
- The customer’s name and address
- Invoice date and supply date — when the work was done or goods delivered
- A clear description of the goods or services
- The amount due and payment terms
- If VAT-registered: your VAT number, the rate (usually 20%), and the VAT amount shown separately
VAT: registered or not?
The VAT registration threshold was £90,000 when this page was checked in July 2026. Registration can also be required when you expect taxable turnover to exceed the threshold in the next 30 days. If you are not VAT-registered, change the document title to INVOICE, set VAT to 0 and leave the VAT number off. If you are registered, add the VAT number to your business details and use the rate that applies to the supply: the main UK rates are 20%, 5% and 0%.
Getting paid on time
Agree a due date before the work starts and show it clearly on the invoice. If no payment date was agreed, UK guidance generally treats a business payment as late 30 days after the invoice is received or the goods or service are received, whichever is later. Qualifying late commercial payments may attract statutory interest. Pair the invoice with a quotation up front and a receipt on payment.

What must a UK invoice legally include?
A UK invoice must include a unique identification number, supplier and customer names and addresses, a description of the goods or services, the supply date, invoice date, amounts charged, VAT amount where applicable, and the total owed. VAT invoices have additional requirements, including the supplier's VAT number. Use the dedicated ID field and verify the final document before sending it.
Do I need to charge VAT on my invoice?
Only VAT-registered businesses charge VAT. Can a sole trader use this invoice generator?
Yes. Sole traders invoice under their own name (or a registered trading name) plus their address. You do not need a company number, but keep a copy of every invoice for your Self Assessment records. The form and PDF run entirely in your browser and are not uploaded to DraftFort.
What are normal UK payment terms?
You can agree payment terms with your customer and edit the pre-filled 30-day term. If no payment date is agreed, a commercial payment is generally considered late 30 days after the customer receives the invoice or the goods or service, whichever is later. Statutory interest may apply to qualifying late business payments.
