Create a service or maintenance work order

A work order turns a request into an operational record: who needs the work, where it will occur, what is authorized, who is assigned, what parts or labor are expected, and how completion will be acknowledged. This generator produces a selectable-text PDF without uploading customer, property or job information.

Use it for repair, maintenance, installation, field service, facilities work or an internal task. Choose Requested, Scheduled, In progress, Completed or On hold status and set a priority that matches your real process.

The most important distinction: problem versus scope

The Problem or service request describes what was reported: for example, a machine will not start or a room needs repainting. The Authorized scope of work defines what the provider may actually do. Keeping these fields separate reduces the risk that an initial symptom is mistaken for unlimited approval.

If inspection reveals more work, record the proposed change and obtain approval through the process required by the customer or organization. Do not silently rewrite the original scope after completion.

What a useful work order includes

  • A unique work-order number and issue date.
  • Service-provider and customer contact details.
  • The precise service location.
  • Status, priority, requester and assigned person or team.
  • The reported problem and authorized scope.
  • Labor, materials, services or other work items with quantities.
  • Optional rates, amounts, currency and applicable tax.
  • Completion notes that state what was actually done.
  • Terms, change-approval instructions and two approval lines.

Operational-only versus priced work orders

Some organizations use a work order only to control a task; others include an estimate or recorded cost. Turn off Show rates, amounts and totals when the PDF should list work and quantities without prices. When costs are shown, the tool calculates quantity multiplied by rate, subtotal, user-entered tax and total.

The total may represent an estimate or recorded amount depending on your workflow. Label and explain it appropriately in the scope or terms. DraftFort does not determine pricing, taxability, overtime, warranties, permits or licensing requirements.

These documents can reference one another without becoming interchangeable. A customer may accept an estimate, issue a purchase order, receive a completed work order and then receive an invoice.

If a safety, security or property event triggered the job, preserve the initial facts separately with the Incident Report Template. If approved scope, price or time changes, document that proposal with a Change Order instead of silently rewriting this record.

How to create the work order

  1. Enter the provider, customer and service location.
  2. Assign a traceable work-order number, dates, status and priority.
  3. Describe the reported problem separately from the authorized scope.
  4. Add labor, materials or services and decide whether prices belong on the PDF.
  5. Add completion notes only after verifying the actual work.
  6. Review terms and obtain the appropriate approvals.
  7. Download and compare the PDF with the source request and change records.

Privacy and safety boundary

Service locations and problem descriptions may reveal security systems, equipment, occupancy or personal information. DraftFort creates the document in your browser. Draft saving is opt-in and local to this browser; Reset removes the saved DraftFort work-order key.

Is the work order template free?

What is the difference between a work order and an invoice?

A work order records requested or authorized work, assignment and completion details. An invoice requests payment. A completed work order may support an invoice, but it does not automatically replace one.

Can I create a work order without showing prices?

Yes. Turn off Show rates, amounts and totals to create an operational work order that lists work and quantities without commercial values.

Can this be used outside the United States?

Yes. Select Letter or A4 paper, choose a supported currency and enter your own accurate VAT, GST, sales-tax or other label if costs are shown.

Does DraftFort store customer or job information?

Does a work order create a legally binding contract?

Not necessarily. Its effect depends on authorization, wording, wider agreements and applicable law. Use suitable contracts and professional advice for significant or regulated work.
