A proof of delivery record connects a shipment reference with when and where a delivery was received, the package count, apparent condition, exceptions and the person acknowledging receipt. This free generator creates a clean, selectable-text PDF in your browser without sending recipient names, addresses or shipment references to DraftFort.

Use it for an authorized business delivery workflow when a simple human-readable record is appropriate. It does not replace a carrier’s required scan, app, signature service, identity check, contract form or regulated transport record.

Proof of delivery, packing slip and receipt

These documents serve different moments in a transaction:

• A packing slip lists what the sender says was packed and accompanies the shipment.
• A proof of delivery records delivery and recipient acknowledgment, including exceptions.
• A sales receipt records payment for a transaction.
• A purchase order is the buyer’s commercial order before fulfilment.

Use the Packing Slip Template for package contents and the Purchase Order Generator for the original order. Do not rename one document to make it appear that a different event occurred.

What to record at delivery

Complete the record from genuine shipment and delivery information:

1. Add a traceable document, order or shipment reference.
2. Identify the actual sender, recipient and delivery address.
3. Record the carrier or delivery method and any genuine tracking reference.
4. Enter dispatch and delivery date and delivery time accurately.
5. Count packages expected and actually received.
6. Describe only the apparent external condition unless contents were authorized and actually inspected.
7. Record shortages, visible damage, refusal or other exceptions precisely.
8. Identify the person acknowledging receipt according to the authorized process.

The generator calculates the package variance. A zero variance means only that the two user-entered counts match; it does not verify contents, weight, quality or condition.

Recording damage, shortage or exceptions

Avoid vague phrases such as “some damage.” Identify the affected package, visible condition and quantity, and state whether acceptance was qualified or refused under the actual process. Preserve photographs, labels, device records or witness information separately when appropriate. DraftFort does not upload, authenticate, hash or preserve that evidence.

Follow every deadline and channel required by the carrier, seller, buyer, insurer or contract. Creating this PDF does not submit a claim, notify another party or reserve legal rights.

Signature and identity boundary

The PDF provides acknowledgment lines, but DraftFort does not witness a signature or verify the signer’s identity or authority. If the workflow requires an electronic signature, identity assurance, geolocation, a certified timestamp or tamper-evident audit trail, use an approved service and process. The Sign & Fill PDF can place a user-created signature locally, but it is not an identity-verification or digital-certificate service.

This boundary protects honest users too: a polished PDF should not imply that an unverified third party independently confirmed the event.

Privacy and secure handling

The form and PDF stay in your browser during generation. Optional private draft saving is off by default for new visitors. Enabling it stores the draft in this browser until disabled, Reset, site-data removal or browser cleanup.

DraftFort cannot protect a shared device, downloaded file, email attachment, printer queue or synced folder. Delivery records may contain personal addresses and commercial information, so collect only what is necessary and use approved retention and access controls.
